What we use, why and for how long

1. Requesting a training

What: your name, company name, email address, type of training, preferred date, number of people and anything you write in the message field.

Why: to answer your request, prepare a quote, and plan and deliver the training.

Legal basis: taking steps towards, and performing, a contract with you or your employer. If you fill in the form on behalf of your company, we use your details based on our legitimate interest in staying in touch with the person who made the request.

How long: if no booking follows, we delete your request after 12 months. If it does, we keep your details for as long as we work together and up to 2 years afterwards, so we can help with follow-up questions. Details needed for our accounts are kept longer (see point 3).

Please don't include sensitive information, such as health details, in the message field. If something matters for the training, such as an allergy, we'll ask about it separately.

2. Coffee subscription waiting list

What: only your email address.

Why: to send you one message when the coffee subscription launches. Your email address is stored in Shopify with the label "coffee-picks-waitlist".

Legal basis: your consent, which you give by entering your email address and pressing the button.

How long: until the subscription launches and we've let you know, or until you unsubscribe. After that we remove you from the waiting list, unless you choose to keep hearing from us.

Unsubscribe: use the link in our email, or email liesbeth@butterflycoffee.nl.

3. Invoices and accounts

What: name, company name, address, email address, what was agreed and what was paid.

Why: to send invoices and keep proper accounts.

Legal basis: a legal obligation. Dutch tax law requires us to keep our accounts.

How long: 7 years, as required by law.

4. Cookies and website statistics

Our website runs on Shopify, which uses:

  • Necessary cookies: to make the site work, for example to remember your language (NL/EN) and your cookie choice, and to send forms securely. These don't need your consent.
  • Statistics and marketing cookies: to see how the website is used. These are only set if you agree in the cookie banner.

Giving or withdrawing consent: on your first visit, choose "Accept" or "Decline" in the cookie banner. To change your choice later, delete the cookies for butterflycoffee.nl in your browser; you'll be asked again on your next visit.

You can read more about Shopify's cookies in Shopify's cookie policy: https://www.shopify.com/legal/cookies

5. Instagram

Our website links to our Instagram account (@liesbeth_butterflycoffee_). There are no embedded Instagram posts or tracking pixels on our site. Instagram's (Meta's) privacy policy only applies once you click through to Instagram.

6. Video on the homepage

The video on our homepage is served by Shopify itself, not by YouTube or Vimeo. No extra data is shared with other parties.

Who has access to your data?

We only share your details with parties that help us do our work. They may only use your details on our behalf and have agreed to keep them safe and confidential (a data processing agreement).

  • Shopify: for the website, the forms and storing customer and waiting-list details.
  • Our email provider: to send and receive email.
  • Our accountant or accounting software: for our accounts.

We never sell your details. We only pass them on to others if the law requires us to.

Data outside the European Union

Shopify may store or process data in Canada and the United States. This is allowed because suitable safeguards are in place:

  • Canada: the European Commission has decided that Canada offers an adequate level of protection (adequacy decision).
  • United States: Shopify participates in the EU-US Data Privacy Framework and also uses the European Commission's standard contractual clauses.

If other parties working for us process data outside the EU, this only happens with the same kind of safeguards.

How we keep your data safe

We handle your details with care. The website uses a secure connection (https). Only Liesbeth has access to requests and customer details, and her accounts are well protected.

No automated decisions

We don't make decisions about you that are made only by a computer, and we don't create profiles of visitors.

Your rights

You have the right to:

  • Access: know what details we hold about you.
  • Correction: have incorrect details corrected.
  • Erasure: have your details deleted, unless the law requires us to keep them.
  • Restriction: ask us to temporarily stop using your details.
  • Objection: object to us using your details based on legitimate interest.
  • Portability: receive your details in a common file format, or have them sent to someone else.
  • Withdraw consent: withdraw consent you gave, for example for the waiting list, at any time. This doesn't affect what we did before you withdrew it.

To use any of these rights, email liesbeth@butterflycoffee.nl. We'll reply within one month. To make sure the request comes from you, we may ask you to confirm your identity. We'll never ask for a copy of your passport.

Making a complaint

Not happy with how we handle your details? Let us know first and we'll work it out together. You also always have the right to complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens): https://www.autoriteitpersoonsgegevens.nl

Changes

We may update this privacy policy, for example when the coffee subscription launches. The latest version is always on this page, with the date at the top. If something important changes and we have your email address, we'll let you know.
